SMLL depends on the contribution of volunteer to function effectively. From getting the fields ready for Opening Day, helping out in the concession stands, taking on some umpiring or many of the other tasks that keep SMLL running, the players in our league benefit directly from your volunteer efforts. Though we depend on volunteers, we also respect that families are busy and juggling multiple commitments. We continuously work to meet the league’s needs while respecting the multiple priorities families juggle.
Last year, SMLL began using SignUpGenius to coordinate volunteers. This seems to have worked more effectively than the volunteer coordination tool we used previously. Last year, we also used SignUpGenius to track volunteer hours. We found this wasn’t as effective as we had hoped.
As a consequence of our experiences and the feedback we received last year, we will continue to use SignUpGenius to coordinate volunteers, but are returning to a paper volunteer hour tracking system.
Another adjustment we are making is to the volunteer commitment required to receive return of the volunteer deposit. Last year, we radically scaled back the number of hours required for the return of the volunteer deposit. The rationale for this was that if the hours were significantly reduced, more people would choose to serve volunteer hours and have their volunteer deposit returned. This did not bear out. Even with the reduced volunteer commitment, a notable number of player families chose to forgo the return of the volunteer and we ran short of volunteers. As a result, this year we are modestly adjusting the volunteer commitment.

This season, in order to have to volunteer deposit returned, families are require to complete three “shifts” per family (two hours of grounds work, 5:00-7:45pm or 7:15-10:00pm in the concession stand, or umpiring one game), with at least two of those shifts being served in the concession stand.
*Since there are a limited number of grounds preparation and maintenance tasks, Grounds Clean Up volunteer shifts will only be credited for those who sign up via the SignUpGenius. _ “Walk up” volunteers are welcome, but will receive no credit toward the volunteer deposit return. There will be no exceptions to this policy._
If you have a special skill that you are willing to offer in lieu of a concession stand shift, such as electrical work, plumbing, carpentry, etc. please contact (Tony Goodenough firstname.lastname@example.org).
We are again instituting “team nights” in the concession stand. Please sign up for your team’s nights first (Included in the 2016 Parent Info Packet. Once your team’s concession commitment is filled, you are welcome to select shifts on other evenings.
Tracking Volunteer Hours
A volunteer form is attached for you to use to receive credit for your volunteer service and request the return of your volunteer deposit (it is also available at the SMLL Website in the 2016 Parent Season Info Packet). When you have completed a volunteer shift, a SMLL board must certify your service. Several board members are at SMLL Park each evening. A list of board members can be found on our website.
Once you have complete three volunteer shifts, mail your form to SMLL, Attn: Treasurer, PO Box 11, South Milwaukee 53172 or email it to email@example.com. If you choose to mail your form, be sure to retain a copy for your records.
Upon completion of the hours requirements the volunteer deposits will be mailed to the address used during registration.
The time and effort that you as a community put forth create lasting memories for our children. Please remember that the required hours are the minimum that we request but there is no maximum.
